SteadMatch or broader AR automation: choosing a QuickBooks workflow

By FoxTrove · SteadMatch product guides

Consider SteadMatch when your immediate need is reading incoming customer remittances, proposing invoice allocations and reviewing validated QuickBooks payments. If you also need collections campaigns, customer portals or payment acceptance, evaluate broader accounts-receivable platforms against those requirements. Ask every vendor to demonstrate your actual workflow; category labels do not prove a feature works.

Define the problem before comparing tools

Write down where the work starts: a customer ACH notice, check image, remittance PDF or spreadsheet. Count receipts, document pages and invoice lines separately. Note who approves differences and how deposits reach the bank.

Outgoing vendor bill payments and marketplace settlements are different workflows. A tool that pays bills or summarizes processor payouts is not automatically a fit for applying a customer remittance across open invoices.

Use the same difficult document in each demo

Ask the vendor to show payer extraction, multiple invoice references, a partial payment, an existing credit and an incorrect reference. Inspect the original source and proposed allocation. Confirm what waits for review, how retries avoid duplicate records, and what happens when QuickBooks is disconnected.

For SteadMatch, automatic approval is optional on Growth, Scale and one-user trials, Test Mode blocks payment posting, and multi-invoice lump sums currently require review. After authorized live posting, inspect the QuickBooks payment and balances. Check source-attachment success separately, then complete native bank-feed matching in QuickBooks.

Compare scope, controls and actual total cost

If collections, a customer portal, payment acceptance or additional accounting platforms are required, ask each provider to demonstrate those specific capabilities. This guide does not claim that every broader AR product includes them, or that SteadMatch supplies them.

Compare the current plan, processing allowances, onboarding effort, seats and support against your volume. SteadMatch pricing and trial terms are published on its pricing page. Confirm the offer before starting; a sample workflow is not a contractual service commitment.

Evaluation checklist, not a competitor ranking or a claim about any named vendor. Verify current features and prices directly with each provider.

Before you record the payment

  • Use the same representative documents for each evaluation.
  • Verify supported formats and approval controls.
  • Inspect actual accounting records, retries and attachments.
  • Compare current pricing and the broader features you require.
