Automatic remittance matching or manual approval: how to choose for QuickBooks Online
By FoxTrove · SteadMatch product guides
You can automate remittance intake, extraction and invoice matching while requiring a person to approve every payment. In SteadMatch, turn auto-approval off until the dashboard reads Manual approval for all. Test Mode is a separate control: when it is on, even approved payments do not create QuickBooks payment records.
Choose who approves, separately from whether posting is live
Approval mode determines whether eligible payments can proceed without a person. With manual approval selected, every payment waits for review. Automatic posting is available on Growth, Scale and one-user trials. With auto-approval enabled, eligible single-invoice matches must meet your configured confidence threshold and pass the posting safeguards. Multi-invoice lump sums currently require review.
Test Mode determines whether payment writes are allowed. When Test Mode is on, approvals are rehearsals. Turning automatic approval off does not turn Test Mode on; turning Test Mode off does not require automatic approval. Check both controls before processing real receipts.
What the reviewer sees
Open the payment to inspect the original remittance, payer, cash amount, invoice references, proposed allocations and current QuickBooks balances. A specific reason explains why it needs attention. The allocation focus filter highlights partial payments, unclear references and lines needing live verification while preserving the whole payment for approval.
Correct the reference or select the intended invoice, investigate credits and deductions, or connect QuickBooks and sync invoices if the workspace has no current invoice data. Leave unresolved items in review. An absent local invoice is not proof that the invoice does not exist in QuickBooks.
Verify the accounting result, then continue bank matching
After authorized live posting, verify the native QuickBooks payment and remaining balances. Check the attachment outcome separately; a successful payment does not prove its source document attached successfully. When using Undeposited Funds, group the appropriate receipts into a deposit for the intended bank account.
Bank-feed matching is completed inside QuickBooks. Match the downloaded bank row to the exact existing payment or deposit rather than adding duplicate income. The bank amount, account, currency and dates matter, and multiple candidates require inspection. A synthetic statement import can demonstrate matching without proving a live bank download.
