How to review short payments and credit memos in QuickBooks Online
By FoxTrove · SteadMatch product guides
Separate the cash actually received from any existing customer credit and any unexplained deduction. Confirm the reason for the difference and the remaining invoice balance before recording the allocation. A short payment is not automatically an approved discount, write-off, or credit memo.
Identify what makes the payment short
A customer may intentionally pay part of an invoice, deduct a disputed amount, or reference an existing credit. Those situations can produce the same cash total but need different review. Compare the remittance, invoice balance, and customer correspondence before choosing a treatment.
Keep unresolved differences visible. Ask the responsible bookkeeper or accountant to decide whether a deduction is valid and how it should be recorded; do not invent a credit to force the payment to balance.
Verify an existing credit before applying it
Confirm that the credit memo exists in QuickBooks, belongs to the same customer, and has sufficient available balance. A credit reference on a remittance is a claim to investigate, not proof that the credit is available.
Check your QuickBooks credit settings and current records so a credit is not applied twice. Missing credits, cross-customer credits, and disputed discounts should remain separate review items.
Review net cash and the balance left open
A credit can settle part of an invoice without adding cash to the bank. Review the invoice allocations, applied credit, and cash received together. The payment preview should make the remaining balance understandable.
After authorized posting, compare the recorded payment, credit application, and invoice balance with your approved allocation. If the customer still owes money, keep that amount visible for follow-up rather than silently closing the invoice.
Illustrative example · fictional figures
An existing credit versus an unexplained deduction
- Invoice open balance
- $1,000.00
- Cash received
- $950.00
- Difference to investigate
- $50.00
An eligible $50 credit could explain the difference. Without an approved credit or other supported treatment, the $50 is still a difference to resolve, not an automatic write-off.
Before you record the payment
- Cash received is distinguished from credits and deductions.
- Any credit memo belongs to the customer and has available balance.
- A deduction has an explanation and the appropriate approval.
- The proposed payment shows what will remain open before it is recorded.
