How to match remittance PDFs to QuickBooks Online invoices
By FoxTrove · SteadMatch product guides
Extract the invoice references, remitted amounts, credit references, and payment total from the PDF. Compare those fields with the customer's open QuickBooks invoices, review uncertain lines, and verify that the proposed allocation explains the cash received. Extracted text is a starting point for review, not proof of a correct match.
Read the document as a payment instruction
Remittances can arrive as text PDFs, scans, or attachments to payment emails. A document may span many pages and contain repeated headers, invoice subtotals, deductions, and credit notes. Preserve the original document so each proposed allocation can be checked against its source.
Capture the payer, payment reference, date, cash total, and the invoice lines separately. A table total is not always the cash total, especially when credits or deductions appear elsewhere on the document.
Review extraction before trusting a match
OCR can confuse a zero with the letter O, omit a minus sign, or merge adjacent columns. Compare unclear references and amounts with the document. Do not replace an uncertain reference solely because a similarly numbered invoice exists.
Check page continuity and totals. Repeated lines, missing pages, and document sections for different accounts can produce plausible-looking allocations that do not describe the actual payment.
Match the extracted fields against QuickBooks
Resolve the customer, locate the referenced invoices, and compare the remitted amounts with current open balances. Keep uncertain references, missing invoices, and amount differences visible for review.
Before recording a payment, confirm the net cash, existing credits, destination, and any unapplied amount. Inspect the resulting QuickBooks record after authorized live posting. A successful document extraction does not establish that a payment was posted correctly.
Illustrative example · fictional figures
A PDF total with an existing credit
- Invoice allocations
- $5,000.00
- Existing customer credit memo
- −$200.00
- Cash received
- $4,800.00
The credit reference must resolve to an existing, eligible credit memo for the same customer. This arithmetic alone does not authorize applying it.
Before you record the payment
- The source PDF and payment evidence are available together.
- Invoice references and amounts have been checked where extraction is uncertain.
- Repeated headers, duplicate lines, and missing pages are accounted for.
- Proposed allocations and eligible credits explain the actual cash received.
Where SteadMatch helps
SteadMatch extracts remittance information, proposes invoice matches, and keeps exceptions visible alongside the source evidence. The homepage demonstrates a fictional 248-line remittance with review cases. That demonstration uses sample records and does not post accounting transactions.
