How to match one ACH payment to multiple QuickBooks Online invoices
By FoxTrove · SteadMatch product guides
Use the customer's remittance to identify the invoices and the amount paid against each one. Confirm the customer, compare those amounts with the open invoice balances, and reconcile the allocations to the cash received before recording the payment. A matching bank deposit alone does not tell you how to allocate the payment.
Start with the payment and its remittance
An ACH payment can settle several invoices at once. The bank record establishes the cash received; the remittance explains which invoices the customer intended to pay. Keep both pieces of evidence together, including the payment date and reference.
Identify the QuickBooks customer before matching invoice numbers. Similar names, reused references, or payments covering multiple customer accounts need investigation before an allocation is accepted.
Compare every allocation with the current balance
For each remittance line, find the corresponding open invoice and compare the amount remitted with its remaining balance. Separate full payments, partial payments, and references that cannot be resolved. Recheck balances before posting because another user may have recorded a payment since the document arrived.
Do not spread an unexplained difference across invoices just to make the total balance. A deduction, existing credit memo, missing invoice, or unapplied amount needs its own explanation.
Keep payment recording and deposit matching connected
Recording a customer payment applies money already received to the customer's invoices. It does not initiate an ACH transfer. If your workflow batches receipts, Undeposited Funds can hold the recorded payments before they are grouped into a bank deposit.
Confirm the payment destination and check for an existing payment or deposit so the same receipt is not entered twice. Your bookkeeper should decide the appropriate treatment for your company's workflow.
Illustrative example · fictional figures
One receipt, three allocations
- INV-1001
- $1,200.00
- INV-1002
- $800.00
- INV-1003
- $500.00
- ACH cash received
- $2,500.00
The three allocations total $2,500. This simple example assumes the invoices belong to the same customer and there are no credits or deductions.
Before you record the payment
- Customer ownership and invoice references are confirmed.
- The allocations explain the cash received, including any reviewed credits or unapplied amount.
- Current open balances and potential duplicate payments have been checked.
- The payment destination and remaining invoice balances are understood.
