Cash application for printing companies using QuickBooks Online

By FoxTrove · SteadMatch product guides

For a printing company using QuickBooks Online, cash application means identifying the customer behind a receipt, matching its remittance references to open invoices, and recording the approved allocation. Keep job numbers separate from invoice numbers, and distinguish cash received from credits, disputed deductions and balances still owed.

Bring the job reference and the invoice together

A printing customer may reference a job, purchase order or invoice on its remittance. Treat a job or PO as supporting evidence, not proof that a similarly numbered invoice is the intended one. Confirm the customer and current invoice balance.

For a demo, bring one ordinary remittance and one difficult example with several invoice lines, an unclear reference or an existing credit. Remove confidential information if it is not needed for the evaluation.

Review a combined receipt as a whole

For a receipt spanning several invoices, compare each line with the source, then confirm the entire allocation explains the cash and eligible credits. Keep an unpaid balance visible rather than closing the invoice to force a match.

SteadMatch currently routes multi-invoice lump sums to review. Its allocation focus filter helps locate partial payments and lines needing attention, while approval still concerns the whole payment. Exceptions need a specific resolution, not just a high confidence score.

Pilot with your own documents before enabling live posting

Start in Test Mode with manual approval. Check payer extraction, references, amounts and the review reason. Then have the responsible bookkeeper verify an authorized live payment and its remaining invoice balances before expanding use.

Measure the time to review, the fields corrected and the exceptions left unresolved. A fictional demonstration or sandbox result does not establish performance for your shop. Use measured pilot results to decide whether the workflow fits.

Illustrative example · fictional figures

A fictional printing customer receipt

Invoice A allocation
$600.00
Invoice B allocation
$400.00
Existing eligible credit
$50.00
Cash received
$950.00

Fictional arithmetic example. The credit must exist for this customer and be eligible before applying it. A job or PO reference alone does not authorize an invoice match.

Before you record the payment

  • Confirm the payer and intended QuickBooks customer.
  • Verify job and PO references against actual invoice records.
  • Separate cash, eligible credits and unresolved deductions.
  • Measure review effort during a supervised pilot.

Where SteadMatch helps
